Project Assistant Summary The objective of this position is to facilitate the efficient operation of the organization. The Project Assistant’s primary goal is to assist the Operations with accounting and making travel arrangements for staff. The accounting aspect of this work includes but is not limited to creating invoices from SL accounting software, maintaining accounting files of bills and billings. The assistant will be expected to handle all travel arrangements and adjust to staff travel changes when they come up. Travel arrangements may happen after hours and/or on the weekends. The assistant will also provide general assistance and support for the Operations group. The assistant should be well organized, flexible, and responsive to various staff and has good communication skills. The assistant will work closely with the Operations group.

Essential Functions

• Works in SL accounting software to billings and pay bills.

• Assist in reviewing and coordinating corrections in SL which may include contacting payroll department.

• Assist with all travel arrangements for staff. Maintain travel records and properly codes all travel. Send out all travel tickets to the appropriate staff.

• Maintain electronic and hard copy filing system, ability to retrieve documents from filing system.

• Work with field staff on requests for purchases and coordination. This will include coding of purchases and recording into accounting system (or modules within accounting structure)

• Expediting of mail, documents and packages for staff and clients.

• Make purchases upon request.

• Other duties assigned. Knowledge, Skills and Abilities

• Knowledge of SL accounting software preferred.

• Knowledge of accounting processes.

• Ability to work well with people.

• Demonstrated strong communication skills both verbal and written.

• Ability to create excel, word or pdf documents to assist with tracking or record keeping.

• Ability to work methodically and independently.

• Ability to handle high work load during busy months under stressful situations .

Requirements Required Experience
• High School Diploma or equivalent
• 2 years of administrative experience
• 2 years experience in SL or other accounting systems
• Experience in the Logistics Field
• Proficient in Microsoft Office Suite software

Physical Demands
• Position is that of a sedentary nature
• May lift and carry files weighing up to 10 pounds
• Sitting at a computer for long periods of time
• Must be able to use standard office equipment

Environmental Demands
• May work outside of normal business hours, including weekends.

Authorized Driver Requirement
• Employee must possess a valid driver license, and pass Smith Driver Training. Individuals with one or more serious violations, DUI/DWI’s shall not be authorized to drive UIC owned vehicles, or drive other vehicles, including personal or rental cars, to conduct company business.
• Employee must follow the UIC Authorized Driver Policy and Procedures regarding approved vehicle usage.
