About This Role:

The Tradeshow Coordinator works closely with the Tradeshow Manager to provide support for corporate and regional tradeshows (70+ shows annually) to ensure successful execution. This includes assisting with logistical planning and support of large multi-segment tradeshows as well as smaller events and meetings.

Essential Job Functions/Tasks:

1. Works with conference planning team to coordinate logistics and deliverables for tradeshows including: booking booth and meeting space; creating registration badges; managing housing, packing and sending exhibition material from the warehouse and returning exhibition materials to the warehouse; and maintaining and organizing tradeshow warehouse and national show assets using ExhibitForce Asset Management System.

2. Works with vendors, e.g. exhibit house, printers, logistics, etc., to ensure timely, cost-effective execution of graphics and booth display items.

3. Manages project requests necessary to support national and regional shows from internal and external sources, including: working with internal creative partners on graphics and creative needs; fulfilling logistical requests, including promo materials and swag; and maintaining and updating ExhibitForce with recent activity and new inventory for national program.

4. Works with booth house to keep Display Catalog and ExhibitForce product inventory current.

5. Assists in the creation of and sends pre-show and post-show communications.

6. Develops staffing and pre-conference training schedules.

7. Travels to and supports onsite execution and management of key events, including show set-up and take-down.

8. Tracks expenses and conducts financial reconciliation.

9. Ensures processing of show leads in CRM system and distribution to sales force.

10. Maintains show schedules, project checklists and processes using exhibit management templates.

11. Supports sales organization with presentations, collateral, and other marketing materials to maximize sales acquisition effectiveness and conversion rate of qualified leads to customers.

12. Conducts post-event analysis including surveys and recaps, and provides recommendations for improvement.

Other Job Functions:

Performs other related tasks as assigned, some of which may become essential to the position.

Travel will be required.

Requirements Education/Training Required:

Bachelor’s degree in communications, marketing, hospitality management, or related field preferred.

Experience Required:

One to two years’ experience in tradeshow and event coordination.

Knowledge, Skills and Abilities (KSA's):

KSA #1: Mechanical and technical abilities to assemble various tradeshow equipment and assets.

KSA #2: Problem-solving skills including problem analysis, planning and organizing, decisiveness, decision-making, and judgment.

KSA #3: Ability to self-initiate activities, work within timelines, work in a team environment, and work and coordinate with teams throughout the organization.

KSA #4: Excellent written and verbal communication skills in English.

KSA #5: Computer literacy including intermediate proficiency with Microsoft Word and Excel.

KSA #6: Must be flexible and able to adapt to changing organizational needs.

KSA #7: Valid driver's license and driving record sufficient to meet requirements to be insured by company. Must have or be able to obtain a valid passport.

KSA #8: Ability to travel and work flexible hours.

Knowledge, Skills and Abilities (KSA's) Preferred:

KSA #9: Knowledge of landscape lighting and/or irrigation design, products, applications and markets in the industry.

Physical Demands:

Ability to sit to use the computer and to perform paperwork activities. Ability to climb stairs to gain access to upper level work area.

Intermittently walking and standing to move about and to perform work within the office, customer locations and field sites. Requires ability to walk on uneven terrain at field sites.

Ability to occasionally lift and carry items weighing up to 50 pounds to assist in set-ups and take-downs at tradeshows.

Ability to work in a variety of positions (bending, kneeling, crouching) to perform set-ups and take-downs at tradeshows, product change-outs and irrigation system/product troubleshooting.

Manual dexterity and coordination sufficient to set up and take down displays at tradeshows.

Finger dexterity sufficient to use a computer and to complete paperwork activities.

Visual acuity sufficient to use a computer and to complete paperwork activities.

Hearing sufficient to communicate with individuals in person and by telephone.

Work Environment:

Various locations with varying temperatures, floor surfaces and exposure to seasonal elements.
